How to switch commercial cleaning companies

Check your notice period, compare quotes line by line and switch without missing a visit.

· By the Ninja Bleu team

The short version

Start with the renewal and termination clause in your contract. Most commercial cleaning contracts renew automatically, with notice usually due 30 to 90 days before the renewal date. Send written notice of non-renewal with proof of delivery, compare quotes by price per visit and written scope, then overlap the two companies for a week or two. What slows you down is your notice period, almost never the new company.

Step by step

Switch in 7 steps

  1. Read the renewal and termination clause first

It sets your timeline, and most people skip it. Look for the initial term, how it renews and the notice period, usually 30 to 90 days before the renewal date. Most cleaning contracts renew automatically. Miss that date and you’re locked in for another full term.

  2. Find your renewal date, then count backwards

With 60 days’ notice and a March 1 renewal, decide before January 1, not in February. Send your notice of non-renewal in writing, with proof of delivery, even if your cleaning company accepts notice by phone (sample wording in step 6). Notice you can’t prove is notice you didn’t give.

  3. Compare apples to apples

A monthly price tells you nothing without the square footage and the frequency. Work out each quote’s price per visit, then check what a visit includes: which rooms, which tasks, how often. A quote with no written scope leaves room to quietly cut time on site.

  4. Avoid a service gap

Signing isn’t the risky part. The transition is. Overlap the two companies for a week or two, or start the new contract in the old one’s last week. Ninja Bleu can start as early as 7 days after you sign, so the overlap is easy to line up.

  5. Collect keys, codes and supplies

Before your old company leaves, list the access cards, keys, door and alarm codes, the supply closet key, and any equipment and supplies left on site. Check for prepaid supplies you can get back.

  6. The notice of non-renewal, in three lines

Subject: Non-renewal of our cleaning contract. "Under section [X] of our contract, this is written notice that we will not renew when the current term ends on [date]. Service ends that day. Please confirm receipt." Email it with a read receipt or send it by registered mail, and keep the proof.

  7. Get a trial period in writing

The real fear isn’t price. It’s trading so-so service for worse. So ask for a trial period in writing. With Ninja Bleu, you get up to 14 days free, with nothing charged, so you judge the actual work before you pay. Your first 5 visits confirm your price: if it changes, you have 48 hours to accept it or cancel with no penalty. After that, report anything off in the app within 2 business days of receiving the visit report.

Frequently asked questions

Questions about switching

How much notice do I need to cancel my cleaning contract?

Usually 30 to 90 days before the renewal date, but it depends on your contract. Miss it and the contract renews automatically. Check your clause and give written notice of non-renewal, with proof of delivery.

Can I switch cleaning companies without a gap in service?

Yes. Overlap the two contracts for a week or two, or start the new one as the old one ends. Ninja Bleu can start as early as 7 days after you sign, so the overlap is easy to line up.

How long does it take to switch cleaning companies?

As long as your notice period, usually 30 to 90 days. The new company is rarely the holdup. Our quote takes 2 minutes, and service can start as early as 7 days after you sign.

What if I change my mind after signing with Ninja Bleu?

Cancelling is free during the trial. You get up to 14 days free, depending on your monthly price, and nothing is charged. After that, give 45 days’ written notice in the app and pay only up to your end date.

How do I compare two commercial cleaning quotes?

By price per visit first, then by written scope: rooms, tasks and how often. Two monthly prices tell you nothing without the square footage and the frequency. And a quote with no written scope can shrink.
